A business with more than one location, whether a franchise brand or an owner with three vans in two cities, gets an organization account. It links every one of the brand's listings to one dashboard, so head office sees and edits all of them, while each franchisee keeps their own access to their listing.
Organization accounts are set up by our team, not self-serve. This article covers how to request one, what you get, and how it fits with the individual claims your franchisees already have.
The quick answer
- Request an account with the franchise account form. We email within one business day, confirm which listings are yours, and set it up.
- Members sign in with ordinary business accounts. The dashboard gains a listing switcher and a Locations page listing every location with a completeness read-out.
- Bulk apply on the Locations page pushes hours, policies, attributes, a booking link or languages to any set of selected listings in one go.
- A franchisee can still claim their own location. Corporate and the franchisee both manage it.
Requesting an account
Go to Franchise accounts and fill in the form: the brand name (the name on the vans), your name, email, phone, how many locations, the regions you cover, and a message that says which listings are yours and who should have access.
We reply within one business day. Because the account gives its members control over every listing in it, we confirm the listings first, then:
- Create the organization, as a franchise or a multi-location business.
- Add members by email. Each member needs an existing GroomLocator business account, so ask everyone who should have access to sign up as a business owner before we set it up. A pet-parent account that is added is switched to a business account.
- Assign the listings. A listing already claimed by an individual owner stays claimed by them and is linked to the organization alongside; we do not take it away.
Nothing about organizations, members or assignments can be changed from the dashboard; changes go through us, by reply to the setup email or the contact form.
What members see
Every member signs in with their own account and sees:
- A listing switcher in the dashboard sidebar whenever they manage more than one listing. Pick a location, and every dashboard page (Profile, Photos, Services, Hours, Service Area, Certification, Billing) edits that one. The choice is remembered on that device.
- Your Locations, at /dashboard/organization: every listing of every organization the member belongs to, grouped by organization, with the member's role shown, and for each listing whether it is claimed and quick pills for Hours, Services (with the count) and Policies.
Members have a role of owner or manager. Both manage every listing in the organization; the role is a label for your records today rather than a difference in what the dashboard allows.
Bulk apply
On the Locations page, tick the listings you want to change and use the Bulk apply panel. It has one tab per field:
- Hours: the same seven-day editor as the Hours page, applied to every selected listing.
- Policies: the "questions pet parents ask" answers.
- Attributes: the checklist of what the location offers and accommodates.
- Booking: a booking link and platform name.
- Languages: the languages spoken.
Each apply replaces that field on every selected listing; it does not merge. The panel reports the result per listing. Two limits to know: up to 200 listings per apply, and fields that are Verified-only (policies, for instance) are skipped on listings that are not Verified, with "Available on Verified listings" shown against those rows.
Photos, descriptions and services are per location and are edited one listing at a time, because they should differ.
Franchisees and their own claims
The organization link and an individual claim live side by side on the same listing:
- A franchisee who has already claimed their location keeps it. Assigning the listing to the organization does not remove their access.
- A franchisee who has not claimed yet can claim their location in the normal way, even while corporate manages it. The only thing that blocks a claim is another individual owner on the same listing.
- Both then edit the same listing. The last save wins, so agree who owns the description and photos.
- Each business account can hold one individual claim; managing more locations goes through organization membership, not through more claims.
Badges and billing for organizations
Listings in an organization are normally given their Verified or Certified badge by our team as part of the arrangement, with the expiry date set for you, rather than one card per location. Their Billing pages therefore have no Stripe portal. A member can still take one location through the normal checkout if that is simpler for a single franchisee. The requirements are the same either way; see What Verified and Certified mean.
What is not built yet
So you are not looking for it: there is no public brand page listing all of an organization's locations, no "Part of {brand}" tag on individual listings, and no organization-level invoicing. Imported listings also arrive with whatever contact email was public, so after setup, put a real per-location email on each listing's Profile page; messages from pet parents go there.
Frequently asked questions
Can I set this up myself from the dashboard?
Not today. Organizations, members and listing assignments are created by our team after confirming the listings are yours. Use the franchise account form to start.
One of our franchisees left. How do we remove their access?
Reply to your setup email or contact us with the listing and the person's email. We remove them as a member and, if they held an individual claim on the location, we can move it to whoever takes over.
Does every location need its own account?
No. Members are people, not locations. One person can manage all locations from one account; add more members only for the people who should have access.
Can head office see a franchisee's messages and leads?
Yes. Anyone who manages a listing sees its contact leads in the dashboard, whether they manage it as an individual owner or through the organization.
